Avoid unnecessary padding. There's no need to repeat what the customer may
have said, if you're writing that long after the last contact you've probably blown your chances of a sale. Try not to use needless words such as "with regards to" or "in reference
to".
- Simplicity:
Know your subject so well that you can discuss it naturally, confidently and
without jargon that may confuse your customer. Use short words and sentences and make your letter flow logically so the reader doesn't get
lost.
- Strength:
Use specific concrete words. Give straight honest details and avoid any
negativity. Don't hedge and don't be afraid to be punchy. If explanation is necessary, keep it
short.
- Sincerity:
Use the human touch, be personal, you are after all talking to a person. Use
common sense and express yourself in a friendly, empathetic way. Don't overdo it; the reader will get sick of your sentiment if you get too
intense.
- Final Test:
Read it out loud. Would you be happy to receive your letter? Is there enough
W.I.I.F.M. (What's In It For Me) for the customer?
